Canceling Microsoft 365 or Cloud Services? Protect Your Data First

Switching cloud providers can reduce costs or improve workflows, but clicking Cancel before planning your data move can put years of business information at risk. Microsoft 365, Google Workspace, CRM platforms, and industry-specific applications have different cancellation, retention, and export rules.

What can happen when a subscription ends?

Depending on the service and agreement, employees may lose sign-in access, apps may become read-only, or stored information may eventually be deleted. Billing and access timelines are not always the same, particularly for annual agreements and reseller-managed subscriptions. Confirm the provider's current terms before setting a cancellation date.

Inventory everything before exporting

Identify mailboxes, shared mailboxes, cloud files, shared folders, calendars, contacts, customer records, attachments, audit history, and application settings. Do not assume a standard export includes every category. Connected third-party applications and automated integrations may need separate migrations.

Test your copy while the old service still works

Download data into a business-controlled location and verify that representative files actually open. Check folder structures, attachments, record counts, access permissions, and any format requirements of the replacement system. Make a second protected copy when the information is business-critical.

Move identity, automations, and integrations

Inventory applications using Microsoft or Google sign-in, email forwarding, shared links, backup jobs, payment integrations, and workflows. Arrange new access before disabling old accounts. If employees are changing email platforms, verify mail routing and account recovery methods after migration.

Confirm retention, deletion, and billing

Document the final access date, potential restoration period, contractual obligations, and whether a written data-deletion confirmation is available. Keep cancellation records together with your migration checklist.
